NECA Conference 2025 Registration

You are about to begin the registration process for the NECA Conference 2025. On submission of your registration, your information and credit card details will be encrypted and securely forwarded to the Conference Secretariat.

This form is for NECA Member registrations only.

On this form you will be able to complete registration for yourself, colleagues and your partner (wife, husband etc). A registration form is to be completed for every person so that social functions and tours are booked under each persons name separately. Once you complete one form, the next person’s form can be completed. Accommodation can also be booked using the registration form.

Kyoto Tours

Tours have been arranged on both Wednesday 7 May and Saturday 10 May to give you ample opportunities to explore the key attractions in Kyoto. 

 

These tours have been collated from a number of tour operators by our Destination Management Company, experts on Kyoto to capture the best experiences on offer. Each tour will be run as a private tour for NECA attendees only, to increase your networking opportunities during the tour. Coach transfers and an English-speaking guide will be provided for all tours. Whispering headsets for the guide to explain discreetly are included where relevant. 

 

The tours are not included in your registration fee and will incur an additional charge. Please select which tours you would like to attend below. 

 

Note: A number of the tours are similar with a reverse order on the locations visited during the morning and afternoon due to capacity constraints at venues. 

All of the below tours will be running at the same time. Therefore, you can only choose 1 tour from the list below.

Accommodation Terms and Conditions

Credit cards will be required at the time of registering to secure your accommodation booking and will be held securely by the conference secretariat. Credit cards will be charged by NECA on 24 March 2025 for the full accommodation amount booked in JPY. NECA and Concept Event Management are not responsible for any fluctuations in exchange rates that apply on the date chosen for payment. Accommodation rates listed will be provided to delegates who book through the Secretariat and will not be honoured if booking directly with the hotel.


Accommodation Cancellation Policy

Please note the Ace Hotel Kyoto has strict pre-payment conditions and because of this, NECA will be making a deposit for accommodation on behalf of all delegates. Therefore, cancellation conditions must be made in writing to the conference secretariat and are as follows:
Cancellations after 20 December 2024 – 1 night’s accommodation fee will be charged
Cancellations after 28 February 2025 (including no shows) – full accommodation amount will be charged.

Ace Hotel Kyoto

The ACE Hotel is the location for all conference sessions. Transport is provided from the hotel for all social functions and partner activities. Accommodation prices below are for <b>double occupancy</b> in JYP and include local taxes & fees.

Summary

Terms and Conditions
It is expressly agreed that NECA National and the Conference Secretariat for the NECA Conference 2025, their legal representatives, directors and employees, and their agents, officers and services, shall not be liable for any loss, injury or damage of any kind whatsoever suffered directly or indirectly by the person, possession or property of any Conference participant or other person during or in connection with the events on the program or any other activities of the NECA Conference 2025, for any reason whatsoever no matter howsoever caused. It is agreed that the NECA National and the Conference Secretariat for the NECA Conference 2025, and their agents and officers, reserve the right to cancel at any time any or all of the programmed or other activities if this should appear necessary as a result of events which are beyond their control or which they cannot reasonably be expected to influence or for which they are not responsible. Without limiting the generality of the foregoing, such events shall include force majeure, government or other official regulations, natural disasters, strikes or any kind whatsoever, civil, international or other crises, or any other unforeseen occurrence. Decisions regarding the necessity for such cancellation shall be taken by NECA National, or their agents, at their sole discretion and shall be final. NECA National and the Conference Secretariat for the NECA Conference 2025 are not responsible for sourcing or providing travel insurance for any registered delegate or additional guests. Travel insurance is the sole responsibility of the registered delegates/additional guests. NECA National and the Conference Secretariat accept no responsibility for natural disasters or any other reason whatsoever, that may cause a delegate to miss all or part of the NECA Conference 2025; for the NECA Conference 2025 to be cancelled due to disasters out of their control; or for there to be damage to personal property or the loss of items. Each delegate is responsible for the purchase of their own travel insurance and NECA National and the Conference Secretariat will take no responsibility for travel insurance claims. NECA will be capturing film and photographs at the conference and associated events. By registering for the conference, you are providing authority for NECA to use these images in future publications and communications. Please accept the terms and conditions below
